Cancellation Policy

This Detailed Cancellation Policy outlines the terms and conditions governing the cancellation of hunting safaris and related services booked with Infinite Safaris Africa (Pty) Ltd (“Infinite Safaris,” “we,” “us,” or “our”). This policy is an integral part of our broader Terms and Conditions, and by making a booking, you (“the Client,” “you,” or “your”) acknowledge and agree to adhere to these provisions. We strongly recommend that all Clients obtain comprehensive travel insurance, including specific cancellation coverage, at the time of booking.

1. General Cancellation Procedure

All cancellations of confirmed safari bookings must be submitted by the Client to Infinite Safaris Africa exclusively in writing. This written notification should be sent via email to henu@infinitesafaris.co.za. The effective date of cancellation for the purpose of calculating any applicable cancellation fees will be the date upon which Infinite Safaris Africa receives this written notification. We advise Clients to request a confirmation of receipt for their cancellation notice.

2. Cancellation Fees and Forfeiture of Payments

Due to the extensive planning, logistical arrangements, and pre-booking of resources (such as concessions, permits, professional hunters, and accommodation) required for our safaris, cancellations incur significant administrative and financial costs. Therefore, cancellation fees are applied as follows, calculated as a percentage of the total confirmed safari cost:

  • Cancellations received more than 180 days prior to the safari commencement date: The initial non-refundable deposit paid at the time of booking will be forfeited in its entirety. Any payments made beyond the initial deposit (if applicable) may be refunded, subject to the deduction of any unrecoverable costs incurred by Infinite Safaris Africa.
  • Cancellations received between 91 and 180 days (inclusive) prior to the safari commencement date: A cancellation fee equivalent to 50% of the total confirmed safari cost will be levied. If payments received to date are less than 50% of the total safari cost, the Client will be invoiced for the difference. If payments exceed 50%, the excess will be refunded after deductions for any unrecoverable costs.
  • Cancellations received 90 days or less prior to the safari commencement date: A cancellation fee equivalent to 100% of the total confirmed safari cost will be levied. In this instance, all payments made by the Client will be forfeited to Infinite Safaris Africa, and any outstanding balance remains due and payable.

3. Refunds

Any refunds due to the Client, after the application of the relevant cancellation fees and the deduction of any unrecoverable third-party costs (such as non-refundable permits, pre-paid accommodation, or supplier penalties), will be processed by Infinite Safaris Africa within a reasonable timeframe following the effective date of cancellation. All refunds will be issued in the currency in which the payment was originally received by Infinite Safaris Africa, and any bank charges, foreign exchange fees, or transfer costs associated with the refund will be borne by the Client.

4. Safari Postponements and Rescheduling

In certain circumstances, and solely at the discretion of Infinite Safaris Africa, a client may be permitted to postpone or reschedule their safari instead of canceling. If a postponement is granted:

  • Any payments made will typically be held as a credit for the rescheduled safari.
  • The rescheduled safari must be taken within a specified timeframe, usually within 12 to 24 months of the original safari commencement date, subject to availability and mutual agreement.
  • The client may be liable for any price increases for the new safari dates (e.g., due to updated daily rates, trophy fees, or seasonal adjustments).
  • Any additional costs incurred by Infinite Safaris Africa due to the postponement (e.g., penalties from suppliers) will be passed on to the Client.
  • A safari can generally only be postponed once. Subsequent postponements may be treated as a cancellation subject to the standard cancellation policy.

5. Force Majeure Cancellations or Alterations

In the unlikely event that Infinite Safaris Africa is compelled to cancel, postpone, or significantly alter a safari due to unforeseen circumstances beyond our reasonable control (Force Majeure), such as:

  • Acts of God (e.g., severe weather events, natural disasters like floods, droughts, wildfires).
  • War, civil unrest, terrorism, insurrections, or political instability.
  • Epidemics, pandemics, or public health emergencies.
  • Government actions, travel bans, border closures, or new visa/permit restrictions.
  • Strikes, labor disputes, or other disruptions affecting critical services.

Infinite Safaris Africa will:

  • Communicate the situation to the Client as soon as reasonably possible.
  • Endeavor to reschedule the safari to a mutually agreeable later date, holding payments as credit.
  • If rescheduling is not possible, we may, at our sole discretion, offer a credit for future use equal to the amounts paid, valid for a specified period.
  • Under Force Majeure, Infinite Safaris Africa shall not be held liable for any additional costs incurred by the Client, including but not limited to, international or domestic airfare, non-refundable hotel accommodation, visa fees, loss of earnings, or any other consequential losses, even if such costs are related to the safari. Clients are advised to seek compensation from their travel insurance provider in such events.

6. Importance of Travel Insurance

Given the strict nature of our cancellation policy and the potential for unforeseen circumstances (including personal emergencies, medical issues, or travel disruptions), Infinite Safaris Africa strongly and unequivocally recommends that all Clients purchase comprehensive travel insurance immediately upon booking their safari. This insurance should adequately cover safari cancellation, interruption, medical emergencies, emergency evacuation, baggage loss, and other travel-related risks. It is the Client’s responsibility to ensure their chosen insurance policy provides sufficient coverage for hunting activities and travel to remote African destinations.
